Chambers Administrator:

We are currently seeking a Chambers Administrator who will be responsible for all aspects of Chambers’ administration, compliance, facilities management and finances. The Chambers Administrator will report directly to the Senior Clerks, the Treasurer and to the Board.

Financial Management

  • SAGE
  • Preparation and distribution of monthly invoices to members for rent and recharging disbursements
  • Daily BACS payments to members & suppliers
  • Bank, petty cash and credit card reconciliations
  • Production of regular income and expenditure reports for the Board
  • Daily company cashflow forecast
  • VAT returns and payments
  • Preparation of annual accounts for external accountant
  • Assist in producing annual budgets for approval by the Board
  • Payroll including PAYE and NI submissions, HMRC payments, pension administration and season ticket loans (payroll moving to external contractor)
  • Purchase ledger; logging and payment of invoices
  • Petty cash management
  • Liaise with Chambers’ bank, HMRC, Chambers’ Accountant and other external bodies

General Responsibilities

  • Management and negotiation of all contracts with external suppliers
  • Company secretary to Selborne Chambers Limited, responsible for Companies House updates
  • Manage members regulatory renewals; practicing certificates, Practice Insurance (Bar Mutual), ICO Registrations
  • Manage annual subscriptions/memberships; Property Bar Association, Chancery Bar Association, COMBAR etc.
  • Preparation of agendas for Board meetings, attendance at board meeting and minute taking for circulation
  • Assisting the Board to ensure that Chambers complies with all regulatory requirements and that Chambers is being managed properly and effectively
  • Assisting Members with the upkeep of the library and online subscriptions; negotiating on cost and purchasing key texts, eBooks and managing subscription renewal
  • On-boarding of new Barristers and staff
  • Pupillage administration
  • GDPR compliance including storage and confidential waste
  • Liaison with outsourced typists
  • Providing Reception cover when necessary

Facilities

  • Management of day-to-day facility issues
  • Liaison with maintenance / re-decoration contractors
  • Point of contact for Chambers’ cleaning contractors
  • Responsible for the security of both Chambers’ buildings
  • Arranging annual Health and Safety assessments and resolving any concerns raised
  • Weekly fire alarm testing
  • Responsible for arranging the logistics of barrister internal room moves

Person Specification

Essential

  • SAGE
  • Excellent IT skills including MS Office

Desirable but not essential

  • Experience in legal or professional services
  • Knowledge of LEX case management system and BARSTAT BACS payment

Skills and Competencies

  • A pro-active and self-motivated individual with strong problem-solving skills, able to work without supervision and with a readiness to acquire new skills
  • Ability to work effectively with other staff members, members of Chambers and external stakeholders
  • Calm and flexible approach to working in a busy environment with the ability to prioritise tasks
  • Excellent communication and interpersonal skills both oral and written
  • Excellent attention to detail
